Locations and tax rates

A location is where an event happens. FullClass uses it for directions, map previews, time zones, how events show, and which tax rates apply.

  • In person or online. Each location is either in person (a street address with a map preview) or online (a meeting link such as Zoom, Google Meet or Teams). Choose the type when you create the location. An in-person location needs a full address, and you cannot save it without one. An online location only needs a meeting link. For online locations, the meeting link and joining details show on the event page, in the booking confirmation email and on the customer's booking page in the customer portal.
  • Location details. These are the name, full address, street, city, region, postal code, country, map position, district or suburb, and map preview (for in-person locations).
  • Arrival & parking / joining details. This is optional text for customers. For an in-person location, write directions and parking notes, which show under the address. For an online location, write joining details such as the meeting ID, passcode or dial-in number, which show under the link. It appears in the booking confirmation email, the reminder email and the booking page in the customer portal. It is also included in the public booking API.
  • Time zone. Check it if you run a mobile business, pop-ups, events in more than one region, or online sessions. An online location starts with your account's time zone.
  • Max capacity (optional). This is the most people the venue can hold. When it is set, FullClass warns you if an event you create or edit has more spots than that. Tick the override box if you really do need more spots. Leave it blank for no limit.
  • Tax rates. Create active tax rates with names like GST, HST, QST, VAT or Sales Tax, then add them to your locations. Each booking keeps its tax lines for your reports.
  • Prices and tax. One setting on the Tax Rates page decides what the prices you enter mean, at every location. With Tax is added at checkout (the usual way in the US and Canada), your price is before tax and tax is added on top. A $50 class with 5% tax costs the customer $52.50. With Prices include tax (the usual way in the EU, the UK, Australia and New Zealand), your price is what the customer pays, and the tax is worked out from inside it. A €50 class with 19% VAT costs €50.00, and the receipt shows €7.98 of VAT included. If a location has several rates, they add up either way. Studios that sign up with a billing address in the EU, the UK, Switzerland, Australia or New Zealand start with prices that include tax.
  • Tax region. Also on the Tax Rates page, record where your business charges and reports tax. That is the country and, in Canada and the US, the province, territory or state. FullClass uses it to know which tax rules apply to you. Saving it does not change any tax rate, price or report. New studios confirm it on the payment step when they sign up, where it is filled in from the billing address. You change it later on this page. If it is not set yet, the form is filled in from your billing address (or your locations' addresses) for you to check and save. You can pick any country. Only Canada and the US also ask for a province, territory or state. For now, other countries are just recorded and change nothing else.
  • Archiving. Archive locations you no longer use. When you need one again, restore it instead of making a copy. You cannot delete a location that events still use. It is archived instead, so those events keep their location.
Switching the tax setting changes every price you have entered. Turning on Prices include tax keeps what customers pay the same. But part of each price becomes tax, so you keep less of every sale. Turning it off adds tax on top of the same prices, so customers pay more. The page asks you to confirm before it saves. Your studio may be billed in the EU, the UK, Switzerland, Australia or New Zealand, where prices shown to the public usually have to include tax. If so, the box also warns you before you turn it off. A change only applies to new sales. Bookings, courses and class passes already sold keep their receipts, refunds and reports. Private event quotes follow the setting too, and each quote keeps the setting it was first priced under. When prices include tax and a tax rate changes, customers still pay the same, and the amount you keep changes.
Billing note. Locations are free and you can have as many as you like. They do not change your bill, so add and remove them freely. FullClass charges your studio a flat monthly plan (from Lite at $5 to Pro at $129), not a fee per location. Plans differ only in how many spots you can schedule each month, counted across all your locations.
