Google Calendar and calendar subscriptions

Google Calendar for staff

Each person on your team can connect their own Google Calendar from their profile, so their shifts show up there. Once they connect, this is what happens.

  • Your shifts and events appear in a separate FullClass Shifts calendar inside your Google Calendar.
  • Connecting also adds any upcoming shifts you were given before you connected, so nobody has to add you again. Past shifts are not added.
  • Editing the event keeps the shift up to date. If you change its class, location or times, the entry already on the staff member's calendar changes too.
  • Each person connects for themselves, not once for the whole business. Staff members look after their own connection.
  • Connecting uses your Google sign-in. The permission is kept by FullClass, not in your browser. FullClass only creates and manages its own FullClass Shifts calendar. It cannot see or change your other calendars.
  • Disconnecting from your profile removes the access. You can connect again at any time.
What it isn't. Google Calendar sync is for instructor schedules. Customers get their class reminders by email (with a calendar file attached), so they do not need to connect a calendar.

Calendar subscription (see the whole schedule)

The Google Calendar connection above only shows the shifts you are given yourself. Owners and admins can also see the whole schedule in their own calendar app, without being added to every event. Use the Calendar subscription card on your profile. It gives you a private link to add to Google, Apple or Outlook Calendar.

  • Owners and admins only. The subscription covers every event on the calendar. Staff do not see it. They use the Google Calendar connection above for their own shifts.
  • It is read-only and updates by itself. Your calendar app checks it every so often, so new or changed events can take a few hours to appear. It is not instant.
  • Click Enable to turn it on. Then copy the link, or use Add to Google Calendar or Add to Apple Calendar. For Outlook, paste the link under "Add calendar โ†’ Subscribe from web".
  • Anyone with the link can see that schedule, so keep it private. If it leaks, click Regenerate link so the old one stops working, or Remove to turn the feed off completely.
No customer details. Each entry shows only the class, time, location and instructor. It never shows customer names or booking details.
