Creating classes

Class vs. event

Concept Meaning Examples
Class What you sell. You set it up once, with its usual price, length, number of spots, description, photos, policies and reminders. "Intro to Pottery," "Kids Cooking Camp," "Private Yoga Session."
Event One date and time when a class runs. Customers book spots (places) on events. "Intro to Pottery on June 12 at 6:00 PM."
Rule of thumb. Set the usual rules on the class. Change them on an event only when that one date needs something different, such as a different price, number of spots, setup or message.

Before you create your first class

Every event needs a location with an address and a time zone. You can save a class before you have a location. But you cannot schedule events for it until you have at least one location.

You need at least one location and one active class first. Until then, the New event, New private event and New course pages show what is missing, with a button to add it, in place of the form. That way you never fill in a form you cannot save. The setup checklist on your dashboard lists the other steps we recommend. These are connecting Stripe or Square, adding your branding and setting up tax rates.

Suggested order. Locations → payment account → branding → tax rates → classes → events. The checklist on your dashboard follows the same order and ticks off each step as you finish it.

Class fields and options

Identity

Set the name, description, product code, age guidance, color and photos that customers see. Photos can be JPEG, PNG, WebP or GIF, up to 15MB each. iPhone photos picked from your photo library turn into JPEG on their own. Drag photos onto the form or use the file picker. Each photo is resized in your browser and uploads with its own progress bar. Drag photos on the class form to put them in order, and customers see them in that order. If a file has a problem, FullClass flags that one file and says why. You can retry a failed upload without picking the others again. A class with no photos says so on its page. It shows an Add pictures button that opens the class form at its Pictures section.

Categories

Categories are optional labels such as Cooking, Pottery or Kids. Manage them under Settings → Categories and give a class as many as you like. Active categories show as filter tabs at the top of your booking page, so customers can narrow the schedule. Archived categories leave the page, but the classes in them keep the category. To fix a name, use Rename on its row. The new name shows on your booking page straight away, and its classes keep their category. A category with no active class in it does not get a filter tab, because there would be nothing under it.

Defaults

Set the starting values for new events. These are the length, price and currency, number of spots, instructor, location and the most spots one booking can take.

Booking rules

Set the question you ask customers for notes, when booking opens and closes, and the arrival time. You can also mark the class as tax exempt, private or hidden from the public.

Legal & policy

Attach terms & conditions and waivers. The class is sold under your cancellation policy. You write terms and waivers once under Settings, then attach them to any class.

Notifications

Each class has its own customer reminders, instructor roster emails and review request. The review request asks people to leave a Google review a few hours after the event ends. It needs two things. First, add your Google review link under Settings → Email. Second, switch the request on in each class under Reminders & notifications, because it starts off. Under the link, Settings → Email shows how many of your classes send it. When none do, it offers to turn the request on for all of them at once. Customers from the last 7 days are then asked within the hour. A course asks once, after its last session, using the course's name. It does not ask after every session. If your referral program is on, the email also shares each customer's referral link. Every review request has an unsubscribe link, and Gmail and Apple Mail show their own Unsubscribe button for it. A customer who uses it stops getting review requests only. Their reminders and booking emails keep coming. Reminders link to the customer's email preferences, where they can turn reminders off too. A reminder names the date the same way your lists do. It uses the date's own title if it has one, then the course name, then the class name. A course session also says which one it is, such as "session 2 of 4", using your own word for a session. Every other email about a booking uses the same name, and so does the customer's booking page. That covers the confirmation, a change of time, a move, a cancellation, a refund, the review request and the waitlist.

Add-ons

Add-ons are optional extras you set up on the class and offer during booking. Each can be one per guest, one per booking or unlimited. They follow the same limits as your studio's list of extras. A name can be up to 80 characters, a description up to 300, and the price up to 1,000,000.

The classes list

Each class is a card. It shows the price per spot, how long the class is and its next date. The next date shows when it runs and how many spots are booked, over a bar. The bar turns amber when the date is filling slowly and green when it is sold out. The soonest class comes first. A class with nothing coming up is marked Not bookable, with Add dates right beside it. No dates scheduled, beside the Active and Archived switch, shows how many classes are like this. Click it to list only those. Course sessions are booked as part of their course, so they do not count as a class's dates. A class that only runs inside courses names the course customers book it through on its card, and it does not count as having no dates. Add dates on a card opens a new event with that class already chosen and its defaults filled in.

Duplicate a class

Setting up a class that is almost the same as another? On the classes list, open the card's ··· menu and choose Duplicate. The copy keeps every setting. That includes prices, defaults, booking rules, notifications, add-ons, waivers, categories and photos. The product code is left blank, so you can give it a new one. The copy's name ends in (Copy), and it opens in the editor so you can rename and change it before you schedule it. The copy is active even if the original is archived.

Status & removing a class

You can schedule active classes and show them to the public. Archived classes are hidden from customers, and you cannot pick them for a new event. Their events and history stay as they were, and you can restore an archived class at any time. Your classes list shows active classes to start with. To see or restore archived ones, switch the list to Archived.

When you remove a class, FullClass™ picks the safe option for you. A class with no events is deleted for good, along with its add-ons, waivers and pictures. A class that already has events is archived instead, so no booking is lost. A class linked to a class pass gift card is always archived, never deleted.

Best practice. Use names that say what people will get, and write clear descriptions. Customers should know who the class is for, what is included, what to bring, when to arrive and whether refunds are allowed.

You can set group pricing tiers, which give a lower price per spot once a booking reaches a set number of spots. New events start with the class defaults, including these tiers.

Price options. A class can sell its spots at several named prices instead of one. For example, Adult $30 and Child $15, or a sliding scale of $12, $15 and $20. Choose Price options under Pricing on the class form. Then add a name, a price per spot and, if you like, a description for each. Use the description for rules like “Ages 6 to 12, must come with an adult”. One booking can mix prices, and they all share the event's spots. New events start with the class's prices. Tick Also use these prices on upcoming events to update events already on the calendar. Events where you changed the price options by hand are left alone. If you switch the class back to One price, tick Also use one price on upcoming events to put its upcoming events back on one price too. The class page has a Copy link for each price. The link opens your booking page with one spot at that price already picked, for every event of the class. Receipts, the roster and the reports show each spot at the price it was sold at. A class can use price options or group pricing, but not both.
