Email, reminders, and marketing sync
Email and reminders
- FullClass sends the everyday emails for you. These are booking confirmations, emails to you and your staff, customer reminders, class lists for instructors, review requests after class, sign-in links for the customer portal, password resets, and the emails for unsubscribing and changing preferences.
- Each class has its own settings for customer reminders, instructor class lists and the review request after class.
- A review request emails the people who came a “leave us a Google review” link a few hours after a class ends. Paste your Google review link under Settings → Email. If you leave it blank, review requests are off. Then turn the request on for each class under that class's Reminders & notifications. When your referral program is on, the same email also shares the customer's referral link.
- On a single event, the Instructor email settings let you change who gets the instructor email and when, for that one date only. The class's usual settings stay as they are.
- Confirmation emails include a calendar file (.ics), so customers can add the event to their own calendar in one click. Course confirmations include one calendar file per session.
- Every email has an unsubscribe and preferences link, so people can choose what they receive.
- Choose how your emails look under Settings → Email → Email appearance. You can set what the header shows (an email logo you upload there, your main logo from Settings → Branding, or your business name). You can also set the header color (blank uses your brand color), the background color behind the email, the text color, and the button color (blank uses your brand color). Below the settings, a preview shows a sample booking confirmation in your colors. It updates as you make changes, so you can check that your logo stands out on the header before you save. A newly uploaded email logo shows in the preview once you save. Text on the header and buttons is set to white or dark for you, so it stays readable on any color. Footer links change the same way on a dark background. The text color has to be dark enough to read on the white email card. A lighter one is refused with a message. These settings apply to emails sent to your customers and staff, not to the FullClass billing emails we send you.
- Send yourself a test email from Settings → Email → Send a test email. Pick any customer email (booking confirmation, receipt, reminder and more). We send it to your own address with sample details, using your real sender name, logo and brand color. So you can check the look and wording before customers see it. Save any branding changes first so they show in the test.
- See what was actually sent under Settings → Email Logs. It lists every email FullClass has sent for your studio, newest first, with the recipient, subject and status (sent, pending or failed). Open any entry to see the exact message that was sent. Search by recipient or filter by status to find a particular email. You can also jump to the Activity feed from the same screen.
Marketing email sync
FullClass sends booking emails itself (see above), but newsletters and other marketing emails go out from an email tool. You can connect Mailchimp or MailerLite. FullClass then keeps your chosen list (a Mailchimp audience or a MailerLite group) up to date with which customers agreed to marketing emails. You write and send the emails in Mailchimp or MailerLite as usual. You need this only if you use one of those two tools.
- Connect under Settings → Integrations → Mailchimp or Settings → Integrations → MailerLite. For Mailchimp you sign in. For MailerLite you create an API token in your MailerLite account under Integrations → API and paste it in (it is stored encrypted). Then pick the audience or group to keep in step.
- FullClass follows each customer's choice. Customers who agreed are subscribed. Anyone who opts out, here or in Mailchimp or MailerLite, is unsubscribed in both places. A sync never subscribes someone again after they unsubscribed on the other side.
- The sync runs by itself every hour. To run it straight away, press Sync now. The page shows when it last ran and any error.
- A customer's email address can change because they confirm a new one in the customer portal or you edit their customer record. FullClass then moves them to the new address in Mailchimp or MailerLite straight away, so emails stop going to the old one. In Mailchimp the contact is renamed and keeps its history. In MailerLite the old address is removed from your group and the new one is added.
- To get unsubscribes back from Mailchimp or MailerLite quickly, add the webhook address shown on the settings page (in Mailchimp under Audience → More options → Audience settings → Manage webhooks, in MailerLite under Integrations → Webhooks) and choose the unsubscribe event. The webhook is how an unsubscribe made in either tool reaches FullClass. The hourly sync also catches an unsubscribe the webhook missed, but only on its next run. Without the webhook, those people keep showing as subscribed here until then.
- In Mailchimp, unticking Email marketing consent on a contact is not an unsubscribe. It sets them to Non-subscribed. That sends no webhook and never reaches FullClass, and no sync can undo it, because Mailchimp only lets the contact opt back in themselves. To opt someone out, use Unsubscribe in Mailchimp, or turn marketing off on their FullClass customer record. If a sync finds customers stuck this way, the settings page names them.
- Disconnecting deletes the saved connection details and stops the sync. Tokens are stored encrypted.
